Coaching & Client Management

  • Create & Sell a Client Portal in Notion

There’s one type of Notion template that’s working really well right now…
Client portals are quietly becoming one of the easiest templates to sell right now.

    They solve a real problem.

    → Freelancers need them.
    → Coaches need them.
    → Agencies need them.

And most of them don’t want to build one from scratch.

They just want something simple, clean and ready to use.

How to create + sell a Client Portal on Etsy

Step 1. Create your base client portal

Start with a simple portal and include pages like:

    • tasks or project tracker
    • files / deliverables
    • timeline or milestones
    • communication / updates

Step 2. Turn it into different versions

Instead of just one template, create variations of the client portal (e.g. a coaching portal version, a content approval portal, a VIP day version, a group coaching portal)

    Same foundation. Different use cases.

Step 3. Turn it into a product

You need mockups, a description, title + tags and simple visuals. So your template actually looks like something people can buy.

And once you do that, you’re not just “making a template”

    You have:
    – a product
    – a listing
    – something you can actually sell

So you can launch multiple Client Portal templates in an afternoon. And I put something together to make this easier:

The Notion Client Portal Creator Kit

    – 6 ready-to-sell Notion Client Portal Templates
    – Icons, covers, logos & design assets to create your own templates with
    – Everything you need to package and list your template in minutes (mockups, description, title & tags)
    – Client Portal Idea Bank (20+ client portal variations you can turn into products)

So instead of starting from scratch, you’re starting with something that’s already built and ready to customize and list.

Notion is a powerful tool that combines project management, note-taking, and collaboration all in one. It’s incredibly flexible, allowing you to create a personalized experience for your clients while keeping your processes structured. Here are a few reasons why I recommend it:

    • Customization: Tailor the portal to your brand and your coaching style.

    • Engagement: Keep your clients engaged with tasks, resources, and updates all in the same platform.

Let’s dive into how you can use my Coaching Client Portal Template to create a seamless onboarding experience.

    Main Dashboard

The first section of the portal is the Main Dashboard or the Welcome Section, where you can introduce yourself and set the tone for your coaching relationship.

This is the first thing your clients will see, so it should be informative, engaging, and aligned with your brand. Here’s what to include:

    • Overview of all pages
    • Message Center where you and your clients can highlight specific action items or reminders. This prevents back-and-forth emails and allows for all communication to be centralized in one spot.
    • Overview of all Coaching Sessions
    • Task Manager to help clients stay on top of their to-dos. Clients can see the tasks assigned for each session or phase of the coaching journey. Each task can be checked off when completed, keeping them motivated and accountable.

    1. Onboarding Section

The Onboarding section is where the magic begins. This is where your clients will get all the necessary details to get started. Here’s what to include:
    • Start Here: A quick overview of what they can expect from your program.
    • Contract: Make sure you have a space for clients to review and sign your coaching agreement.
    • Payment: Provide information on how clients can complete their payment or any recurring billing details.
    • Intake Form: This is a great spot for any initial assessments or intake questions you need them to complete. This could include their goals, challenges, preferences, and any other details that will help you tailor your coaching program.
With these pieces in place, you can ensure that every client goes through the same onboarding process, without missing a step.

    TIP: Onboarding Checklist

Create a checklist of essential onboarding tasks. This keeps your clients on track and ensures they complete all necessary steps before moving forward. Include items like:
    • Signing the coaching agreement
    • Filling out intake forms
    • Scheduling the first session
    • Accessing initial resources or materials
You can set this up as a simple task list or use Notion’s built-in templates to create a more interactive experience with toggles and progress bars.

    2. Program Section

Once your client is onboarded, they’ll move into the Program section, which includes all the details about the actual coaching process. This section can be divided into:

    • Course: If your coaching includes any learning material, you can list it here.
    • Coaching Sessions: Add a personalized link to their Zoom calls or other platforms, along with a schedule of their upcoming sessions.
    • Notes & Homework: Give clients a space to store session notes and track any homework assignments.
    • Resource Hub: A dedicated space to share and access worksheets, eBooks, videos, tools and more. Organize this hub by categories, such as mindset, strategy, or specific coaching programs, to make it easy for clients to find what they need.

By organizing these aspects into the program section, your clients can stay focused on their progress and know exactly where they are in the coaching journey.

    3. Offboarding Section

Once the program is complete, the Offboarding section helps ensure a smooth conclusion to your coaching journey. You can include these pages:

    • Recap: Summarize the key takeaways and milestones your client has achieved.
    • Reflection: Encourage them to reflect on the experience and lessons learned.
    • Feedback: Ask for feedback to improve your coaching program.
    • Next Steps: Suggest any next steps they can take, whether that’s a follow-up program or additional resources to continue their progress.

This structured offboarding experience helps to leave a lasting impression and provides closure to the coaching relationship.
